OnboardMail takes spam and permission very seriously. When you request an account you are asked to agree to this anti-spam policy. Spam is any email you send to someone who hasn’t given you their direct permission to contact them on the topic of the email. But that’s not enough. Permission is open to interpretation. Here are some specific scenarios to clarify what does and doesn’t constitute permission.

To send an email to someone using OnboardMail’s Software

You must have clearly obtained their permission. Either by;

  • An opt-in checkbox on an offline or online form. This checkbox must not be checked by default.
  • Customers who have purchased from you within the last 2 years.
  • If someone gives you their business card and you have explained to them that you will be in touch by email, you can contact them.
  • You should only ever email anyone who has clearly given you permission to email them specifically about the subject you’re contacting them about.

By using OnboardMail’s Software

You agree not to import or send to any email address which:

  • You do not have explicit, provable permission to contact in relation to the topic of the email you’re sending.
  • You bought, loaned, rented or in any way acquired your email list from a third party, no matter what they claim about quality or permission.
  • You haven’t contacted via email in the last 2 years, these people may not remember giving their permission in the first place.
  • You harvested the email from the web. Just because people publish their email address doesn’t mean they want to hear from you.

Every email you send using OnboardMail’s Software

Must include the following information;

  • A single-click unsubscribe link that instantly removes the subscriber from your list. Once they unsubscribe, you can never email them again.
  • The name and physical address of the sender.

OnboardMail will know if you don’t have permission

We have numerous layers of approval and monitoring to ensure you comply with our anti-spam policy. Here’s a few of them; Until your account has been approved by a member of our team, every email you send will need to be approved. Our software is directly integrated into the spam reporting systems for some of the biggest ISP’s like Hotmail and AOL. If you don’t have permission and someone marks your campaign as spam, we’ll know about it the moment that button is pressed. If you receive a complaint rate greater than 0.20% of all recipients (that’s 20 complaints for every 10,000 recipients) your account will be terminated. This is a generous figure that takes into account false spam reports. Our team verifies all large lists imported into our software. Until we’ve given it the all clear, you can’t send to it. ‘Blacklists’ and abuse accounts are monitored every day. We can pinpoint who is causing us delivery problems or attracting complaints very easily. If we do discover that you’re emailing people without their permission, we will terminate your account with OnboardMail immediately.

Furthermore, prohibited content and prohibited actions are also considered spam. These include and are not limited to;

Prohibited Content

  • Emails offering to sell illegal goods or services
  • Emails that violate CAN-SPAM Laws
  • Pornography/sexually explicit content
  • Emails with offensive content or images
  • Escort and dating services
  • Pharmaceutical products
  • Work from home, make money online, and lead generation opportunities
  • Gambling services or products
  • Multi-level marketing
  • Affiliate marketing
  • Credit repair and get out of debt opportunities
  • List brokers or list rental services
  • Selling “Likes” or followers for a social media platform
  • Crypto and virtual currencies
  • Initial Coin Offerings
  • Online trading, day trading tips, or stock market related content
  • Daily horoscope reports
  • Mortgages and loans
  • Nutritional, herbal, and vitamin supplements
  • Adult Entertainment/Novelty Items
  • Real estate
  • Services that support sending mail on behalf of third parties

Prohibited Actions

  • Send unsolicited single or bulk email
  • Cannot provide evidence of consent for bulk email
  • Emailing material that is not directly associated with your Company
  • Emailing material that violates anyone’s rights
  • Use any misleading or incorrect names, addresses, email addresses, subject lines or other information
  • Disclose or share your password
  • Decipher, decompile, disassemble or reverse engineer any of the software on our Website
  • Use or download any of the software on our website to create a competing product
  • Use a third party unsubscribe process
  • Set up multiple accounts for any person or entity in order to send similar content
  • Emailing security credentials or sensitive personal information
  • Upload or send purchased, rented, third-party, co-reg, publicly available data, or partner lists of any kind
  • Send or forward personal mail
  • Send content created in our service through another service
  • Host images on our servers for any purpose other than for use in your email campaigns
  • Host content on our servers for any purpose other than to send email campaigns

If you violate this policy, receive a hard bounce rate greater than 5% or receive a complaint rate greater than 0.2%, your account will be terminated. This is a generous figure that takes into account false spam reports. We may also suspend or terminate accounts according to our Terms & Conditions where we see behavior, content, or other factors that poses a threat to our system.
